Confidential & Restricted Documents

Documents in the Electronic Case File (ECF)a state-wide centralized electronic storage of client's case folders and documents. are subject to security and viewing rights that extend from CARES Worker Web (CWW)The case management system for Income Maintenance cases. Documents can be made confidential, restricted, or both.

 

Document Security Description
Confidential
  1. Documents are made confidential when indexed to a confidential case.
  2. Only the primary case worker and their immediate supervisor can view confidential documents. If the case includes a FEP worker, the documents will also be visible to the FEP worker and their immediate supervisor.
Restricted
  1. Documents are restricted based on their document code. See Document List & Codes for a complete list of restricted document codes.
  2. Only workers with edit access to the indexed case, including CWW Super Users, can view restricted documents.
KBM Restricted
  1. Documents are KBM restricted based on their document code. See Document List & Codes for a complete list of KBM restricted document codes.
  2. Only the Katie Beckett (KB) workers can view the KB document codes.
W-2 Restricted
  1. Documents are W-2 restricted based on their document code. See Document List & Codes for a complete list of W-2 restricted document codes.
  2. Only the FEP worker and their supervisor can view the document regardless of confidentiality of the case.

 

If a document is both restricted and confidential, it can only be viewed by the primary case worker, primary FEP worker (if applicable) and their immediate supervisor so long as they have edit access to the confidential case.

 

What if I need to view a restricted or confidential document?
If you have a business need to see a restricted document that is not in your case load, contact the primary case worker (or FEP worker) assigned to the case or that worker's immediate supervisor. Either person can view the document in question and answer your questions as appropriate.
